Job Description

Ultimate Staffing is hiring an entry level Administrative Assistant to support a National Accounts team in Irvine.

Schedule: Monday- Friday, 8am- 5pm

Pay: $20- $22/ hour DOE

  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Perform general administrative and clerical support to include but not limited to: mailing, scanning, filing, faxing and copying.
  • Maintain filing system and enter verified data into the applications and database.
  • Creates and modifies various documents using Microsoft Office. Including generating reports, transcribing minutes from meetings, creating presentations, and conducting research.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Verify account discrepancies by obtaining and investigating information from account managers, account representatives, vendors, and customers.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Assist in resolving any administrative problems.
  • Support receptionist phone duty during scheduled rest and meal breaks if required.

Qualifications

  • 0-3 years of administrative experience working in an office environment
  • Proficient in MS Suite
  • Ability to handle a high volume of writing activities including emails, respond to inquiries from clients, vendors, and general public.
